2023 AGM Minutes

Held at Sunnydale Leisure Centre at 7.45pm.

APOLOGISES FOR ABSENCE.
Apologies have been received from Paul Smith, Steve Blacklock, Michael Dunn, Jane Henderson.

MINUTES OF LAST ANNUAL GENERAL MEETING.
The last AGM was held on 1st February 2022. Everyone at the meeting had read the minutes of the last AGM. These were agreed as a true record, proposed by Phil Carter and Gerry Hehir.

ELECTION OF PRESIDENT AND VICE PRESIDENT.
Gordon Hope was unanimously re-elected as President and Harry Binyon BEM as Vice-President.

CHAIRMAN’S REPORT AND ELECTION OF CHAIRMAN.
The full report had been made available via Crook Ed and the club’s website. No further comments were made. Graham Laverick was unanimously re- elected as Chairman.

ELECTION OF SECRETARY.
There was a proposal by Gerry Hehir seconded by Geoff Hewitson for Danny Oakley to take over the secretary’s role and there were no other nominations. Danny Oakley was duly elected to take on the role.

TREASURERS REPORT AND ELECTION OF TREASURER.
Harry Binyon BEM went through the Statement of Account and there were no questions. Following previous year’s the shortfall on track fees has now been replaced by a profit. The balance at the beginning of the year was £9622.12 (1stJan) and the balance at the year end £10,190.45. The statement of account was agreed, proposed by Ken Cawkwell and seconded by Rob Teasdale.

ELECTION OF CAPTAIN’S AND VICE CAPTAIN’S.

Both Rob Teasdale and Sharon Bridge had tendered their resignation to the committee.The following were duly elected for 2022 to serve:

    • Men’s Captain -Brad Wright
    • Men’s Vice Captain- Alex Hird
    • Ladies Captain -Lisa Donaldson
    • Ladies Vice Captain-Kimberley Clay.

The meeting thanked both Rob and Sharon for all the work they had put into the role. This was Rob’s second stint as captain and Sharon has not had the best of luck with injuries over the last 12 months.

ELECTION OF COMMITTEE
The committee consists of the 7 main post holders Chairman, Secretary, Treasurer and the 4 captains.
Steve Blacklock asked to leave the committee and the following agreed to serve on the committee Phil Carter, Geoff Hewitson, Gerry Hehir, Jo Raine, Jane Henderson, Clare Weir, Andy Turnell, Darren Fairclough and Sarah Fairclough.
Colin Everson to act as co-ordinator with the junior section.

SUBSCRIPTION 2023.
The 2023 EA individual fee was increasing to £17 per annum payable from April 2023. The club affiliation fee remains at £150 per annum. There has been no increase in fees since 2017.
The committee proposes that the fees should increase to £40. The discount from 2022 will not apply.
Competing members will pay £40 if paid before the 31st March 2023. If paid after 1st April the fee will increase to £75.
Non competing members and social members will pay £20.
In previous years a number of categories were created and in view of the low numbers it was unanimously agreed that these categories are to be removed.

The cost of each session at Shildon to remain at £2 subject to no increase in the hire fees from the council. There has no indication to date from the council of any intended increase. However, there is a facility to purchase club membership and track fees for a combined figure of £95 if paid by the end of March 2023.
There are a number of documents which have been updated by the club which includes a code of conduct and personal details THESE must be completed at the same time as the fees are paid.
It would be preferable if you could make your fees payable to the club bank account as soon as possible.

JUNIOR SECTION.
Colin Everson reported on the work he was doing representing the the junior section. A full report will be made available on the club website.

CLUB CHAMPIONSHIP.
After the scaled down version in 2021 a full club championship took place in 2022. This has been viewed as a success and it was unanimously agreed that a 2023 version will take place starting in the Spring. It will be very similar with a pick and mix of events and these will be published in the next few weeks via the usual social media outlets.
The 2022 winners were for the U50s Wayne Pearson and O50s Gerry Hehir.
Same age groups for 2023 and it was agreed that the trophies would be named in memory of 2 former members Tracey Birbeck for U50s and Mike Mallen for the O50s. Members were encouraged to provide any feedback to the committee.

CODE OF CONDUCT AND CLUB CONSTITUTION.
These have been updated and are on the club website and the chairman invited any comments. The rationale was explained and the Code of Conduct will need to be completed when members renew membership from March this year.

ANY OTHER BUSINESS.
A discussion took place on transport for various events and the concensus was it would be costly and difficult to organise on a regular basis. Initially it was agreed that club would subsidise a bus for the forthcoming Alnwick XC in early March. Cost will be £10 each. I further event maybe organised for one of the club championship events in the Summer when the dates are available.

The new kit has been well received and there has been interest for other items of kit.

The next major event is the Presentation Night on Saturday 11th March at Redworth Hall. The cost is £36.00 per member. There will be a list of nominations for all club members to vote on with the winners announced on the evening.
There is still an opportunity to obtain tickets and names should be given to Sharon Bridge.
